Digital Work Time Organization (Ψηφιακή Οργάνωση Χρόνου Εργασίας)
Goal
The goal of Digital Work Time Organization is to record and make available, in digital form, the Planned Work Schedule (Προγραμματισμένο Ωράριο Εργασίας) for every employee — consolidating:
- Work schedule (Ωράριο Εργασίας)
- Overtime (Υπερωρίες)
- Leaves (Άδειες)
This replaces the previous practice of submitting schedules as unstructured text or attached files via E3 / E4 Συμπληρωματικό Ωράριο / E4 Ετήσιο.
The two-step registration procedure
Every employer must complete a registration ("απογραφική") procedure consisting of two steps:
Step 1 — Declaration of Change of Employment Relationship Elements
A one-off declaration (per employee) — see Employment Relationship Change Declaration — that must be submitted before the employee's work schedule declaration. It records the general employment-relationship attributes relevant to work time (weekly hours, 5-day/6-day week, breaks, Work Card / Κάρτα Εργασίας participation, etc.) and opts the employee into Digital Work Time Organization.
Step 2 — Work schedule declaration
A declaration of the actual work schedule, as either:
- Fixed Weekly (Σταθερό Εβδομαδιαίο), or
- Variable / Modified Per-Day (Μεταβαλλόμενο / Τροποποιούμενο ανά Ημέρα)
...submitted before the schedule takes effect.
Timeline
- From 01/11/2022, the registration procedure starts for all employers with dependent employees.
- The registration can be done incrementally (e.g. per branch/site, or in multiple submissions per branch) but must be completed for the entire workforce by 30/11/2022.
- Once an employee is registered into Digital Work Time Organization, any future schedule change, urgent modification, or leave must go through the new mechanisms — the legacy E4 Συμπληρωματικό Ωράριο process is discontinued for that employee.
- The existing overtime process (E8 — Αναγγελία Νόμιμης Υπερωριακής Απασχόλησης) continues to be used as-is.
Once an employee is enrolled in Digital Work Time Organization:
- E4 Συμπληρωματικό Ωράριο must no longer be used for that employee.
- In E4 Τροποποιητικός Αποδοχών and E4 Ετήσιο, the fields "ΩΡΕΣ ΕΝΑΡΞΗΣ & ΛΗΞΗΣ – ΗΜΕΡΕΣ ΕΡΓΑΣΙΑΣ" and "ΩΡΕΣ ΔΙΑΛΕΙΜΜΑΤΟΣ – ΔΙΑΚΟΠΗ" must be left empty.
New hires (from 01/11/2022)
For any new employee hired from 01/11/2022 onward, the E3 hiring declaration (Αναγγελία Πρόσληψης) must be accompanied by the digital work schedule declaration (fixed weekly or variable per-day) — see E3 Hiring Form.
Result: "Current Status" calendar
After the registration declarations and ongoing schedule/leave/overtime declarations are processed, ΠΣ ΕΡΓΑΝΗ computes the effective planned schedule per employee per date — the Current Status of Digital Work Time Organization (Τρέχουσα Κατάσταση Ψηφιακής Οργάνωσης Χρόνου Εργασίας). This is shown as a digital calendar and is also exposed to the employee via:
- the myErgani mobile app, and
- the myErgani web portal (myergani.gov.gr)
